Spotlight with EVL Events of WNY

We recently spoke with Samantha “Sam” Nelson- Owner of EVL Events.  She is a top Wedding Planner in Western NY.  Most of her events are a bit more upscale.  http://www.evlevents.com

First off, how long have you been a wedding planner and how many weddings have you planned?  Do you specialize in any type of weddings?     I have had my business for 8 wedding seasons now!  Wow!  I have planned a little over 200 weddings.  Currently I tend to specialize a little more in luxury weddings, but I am open to any and all conversations.  I do like to work with couples that want to be unique and do different things!  I am limited on the number of events I can do each year, so I always want to make sure we are a great fit for our clients!

How do you structure your pricing is there a flat fee a percentage hourly fees etc? My pricing is customized based on each client’s needs.  We do offer a flat fee for couples, but it’s structured on a case by case basis.

What is your process for working with couples? Every couple is different.  However, we become an extension of the couple’s family.  We are here with them for 12+ months planning the one of the more intimate times of their lives.  So we try to work with them from the beginning of the planning process and are with them throughout their planning journey, all the way until the end!  We do a mix of virtual and in person meetings and depending on the level or service they contract us for, will determine how often we meet and what we are a part of.  We are also know to be a part time therapist for them as well lol!

How do you handle last-minute changes or unexpected problems? With grace and a smile.. When (not if), When something comes up (because it always does), we are super quick to think on our feet and tackle the problem as quickly and effectively as possible.  We try our best to not get the clients involved unless it’s absolutely necessary.  Our job is to create a stress free environment for our couples and their families!

What is the first thing you’ll work on with your clients? Again, it depends on the level of services they hire us for.  However, for every couple the first thing we do is have an intro call so we can get to know them, their personalities, preferences, style, etc.  Likely we will establish a partial vision and their budget, then start working on securing a venue, date, and so on.

Do you have preferred vendors or can couples use their own? We now do have a preferred vendor list.  We will sometimes make exceptions for our couples if they would like to work with someone that is not on the list, but we do like to do our research to ensure they are insured, professional, etc.

Do you work with many different types of clients such as DIY or hands off.  We do work with couples of all shapes and sizes. We have couples that tell us just a few details and we plan every little detail.  We have couples that are very hands on and want to be involved in the planning process and we also have couples that are super creative and want to incorporate some DIY details into their wedding.  With DIY clients, we do have some parameters that we have to stay within, but we are super open to all conversations!

Do you have one piece of advice to share with couples? Take the time and enjoy the planning process!  Be a part of it, even if it’s a little bit and don’t let the little things stress you out.  At the end of the day your friends and family are there to support you and your love to one another.  Hire a planner to the heavy lifting for you and to help you make the best decisions for you and your significant other!

10 Commonly overlooked Wedding Day must haves in Buffalo NY

It’s always a great idea to have your fiancé, parents, and of course your wedding party on the same page with last-minute details. Here are some pointers that will make your day less stressful.

Preplanning you can avoid these common forgotten things and focus on enjoying your perfect wedding day.

  1. Wedding Day Emergence Kit

Include items such as safety pins, sewing kit ,stain remover, pain relievers, band-aids, double sided tape for quick fixes.  Some couples share these items with their guests and place a basket in the bathrooms or have a bridal suite kit.  Life savers are great ! And a stick of caulk- as it covers up make up stains

  1. Comfortable Wedding Shoes

While many brides envision wearing beautiful heels, your feet will start to ache and you may have some fun sneakers, or logoed shoes.   We have seen Zumba style shoes or white sneakers to enjoy dancing.  Many brides bring flip flops or ballet style slippers as a favor or gift to the ladies.

Staying organized is crucial for a seamless wedding day.  You want to make sure everyone is on the same page.  A great idea is texting a  detailed timeline to vendors, bridal party, and family in the morning, they can always refer back to their text.  You can also distribute paper copies, you minimize confusion and ensure events flow smoothly.

Almost every wedding people have forgot their phone charger in the midst of a busy day.  Hopefully we can help you out on this but we cant guarantee, so it’s a great idea if you want to stay connected to your bridal party or vendors.

 

  1. Prepare for Weather

Luckly the Admiral Room is an indoor event space, but you don’t want to mess up your fresh hair with rain or snow.  Prepare by putting an umbrella, shawl or sunscreen in your bag.

  1. Touch up kit

Included lipstick, powder, tissues, blotting paper, a small mirror to freshen up.

 

  1. Wedding folder- have a copy of all your notes- including copies on timeline, vendor contract, guest list, table designs and assigned tables. This is not for you!! Give this to a family member of a bridesmaid to refer to if need be.
  2. Marriage License Make sure its signed, sealed and ready to go.  Assign someone to bring it to the ceremony.
  3. Cash or tips for vendors- To stay organized have small envelopes ready for gratuities or any unexpected expenses.

We’re going to break down exactly how to plan a wedding in 3 months.. Whether you’re newly engaged and eager to say “I do,” have time restrictions or way behind on wedding planning.

We here at the http://www.admiralroom.com work with many different types of weddings and we work with different timelines as well.   Did you know we have approximately 6 weddings a year that has a tight timeline within 3 to 6 months. It can be done and we are here to assist you.

Yes, getting married within 12 weeks is possible.  Let’s do this.  Planning a wedding in three months may make you nervous, but with the right approach and being organized with checklists, it’s entirely possible to create a beautiful celebration of your love.  Whether you’re eager to tie the knot quickly or working with a tight timeline, we can make this work for a wedding in 3 months.

Let’s get some help from the interest.  Find a publication with checklist,  use some pointer from us or friends that have recently been married or hire a wedding planner that does this for a living.

Know your expectations, this probably won’t be an elaborate 300 person black-tie affair, but you can create a beautiful and meaningful celebration in just 12 weeks. Get ready to be flexible, prioritize what’s most important to you, and stay organized throughout the entire process.

How to plan a wedding in 3 months

Month 3

During this crucial first month, you need to:

  1. Set a wedding date and budget. This must be your first step as it will affect every following event and to-do.BE FLEXBILE. Have a few days in mind as you may need to shift things around based on venue availability. The budget will help guide you as you begin planning some of your larger expenses, primarily the venue.
  2. Consider hiring a wedding planner. They plan weddings for a living, so chances are this will make your wedding planning timeline a lot less stressful.
  3. Decide on your wedding style or overall vibe for your wedding day.
  4. Get started with design, create a vision board, or use a Pinterest board to visualize your ideas and share them with your vendors.

Time is of the essence, do a fun video to send out,  look up tik tok “ when I’m feeling good” announcement videos.  If sending paper invites is crucial for you, start planning on that early. If not, consider a stylish email invite!  It’s critical that you let your guests know to keep your wedding in mind for the next three months.
  9. Choose your wedding party. Select and coordinate with your wedding party. These friends, family, and loved ones will be your closest confidants in this period (except for maybe your wedding planner or US).
  10. Start shopping for wedding attire. Begin looking for your wedding dress, suit, or other formalwear. If you’re in the market for a gown, keep in mind that bridal salons tend to book up far in advance and most custom gowns take at least six months to prepare.

  5. Plan additional wedding events. Consider bachelor or bachelorette parties, rehearsal dinners, or an engagement party. What do you have time for in your wedding plans?
  6. Decide on hair and makeup options. Whether you’re going to DIY or not, start making this plan now.

Month 1

Here’s a list for the final month before your wedding!

  1. Obtain your marriage license. Be mindful of your state or country’s laws here, not all marriage licenses are created equal. Look up https://www.health.ny.gov/vital_records/marriage.htm   You can order your marriage certificate on this site.
  2. Confirm RSVPs and finalize seating arrangements. You want to have the final count before confirming and paying your venue/ vendors.

  5. Write vows and speeches. Pick your readings and write your wedding vows.

Real Wedding Gabby and Ryan

Real Wedding.  Back in fall we had an adorable couple host their wedding with us.  We want to share a bit of their day with you.

ADMIRAL ROOM- How did you two meet?
GABBY-In a mutual friend’s driveway getting ready for the Rick Ross concert back in August 2021.

Can you share your proposal story?
Ryan booked a trip to Disney World which I thought was for my birthday. He took me to my favorite spot, Cinderella’s Wishing Well, to get out of the heat. Next thing I knew he was down on one knee!

Was it a surprise?
YES!!!! It was so much of a surprise that once I realized he was down on one knee, I don’t even remember what he said and just shouted “Yes!”



Did you celebrate your engagement in any special way? party, family?
We had a very nice dinner together to celebrate. Once we got home, my parents had a small party to celebrate us.

What inspired your overall theme or vibe?
Our inspiration was a classy, elegant vibe while still giving all our guest a party and a night to remember!

Why did you choose the Admiral room?
The beauty and elegance of The Admiral Room is was made us want to booked a walkthrough. Once we met Cyndi and the rest of the staff we were SOLD! Everyone was wonderful and so on top of everything from the start which sealed the deal for us.

Is there a story behind your first dance or parent dance songs?



Our first dance song was ‘From This Moment On’ by Shania Twain. The lyrics are everything we always say to each other. Once we picked it, I don’t think there was a day that went by that we didn’t listen to it picturing us dancing with the fog and cold sparks. The actual moment of our first dance was a dream come true and more!

What was the most exciting part about your special day?
The entire day!! Walking up those steps into our reception at The Admiral Room was honestly a dream come true and very surreal to see our wedding vision come to life. Being announced on balcony into our reception was so thrilling! It was the perfect way to kick off the night!

Any suggestions, concerns, comments you’d like to share?
We got married 4 months ago and not only are Ryan and I still talking about how amazing it was but so are all of our guests. From the food, to the staff, and the overall atmosphere, everyone is still raving about how above and beyond The Admiral Room goes!

Planning your wedding can be one of the most exciting experiences of your life. The biggest decision that sets the tone for your big day is choosing the perfect venue for you two!

    We will stage a area to reflect what a wedding there could look like—a fully set tablescape, decorated ceremony spaces, decorative backdrops, lighting, and music. This gives you a real sense of how the venue might look and feel during your big day.
  5. Meet the staff/ venue team in person:
    A venue’s staff plays a huge role in ensuring your wedding goes smoothly. Meeting them in person at an open house gives you a chance to see how friendly, professional, and knowledgeable they are. Building a good relationship with the venue team early on is important to keep your stress down.

Our Open House takes place in February as the “engagement season” is in full swing.  It is advantageous to come as some vendors offer a booking incentive.   Some vendors offer a discount or offer a special.

Bring you fiancée, parents or maid of honor and come for a fun and informative night out.   Take lots of photos of different set-ups, floor plan designs and tablescapes.  Come prepared with questions.  For all our out-of-town couples have someone attend in your place and facetime the couple. It’s worth it- you will gain so much knowledge.

Real Wedding- Amanda and Emmett

In a recent discussion with an Admiral Room http://www.admiralroom.com couple we asked them to share some of their love story.

Amanda and Emmett: We met through mutual friends in college. One of my roommates was dating one of his fraternity brothers. We met one night when my roommate’s boyfriend invited us to hangout at their fraternity and the rest is history!

He proposed right around our 6th anniversary.  I was surprised but we had always talked about getting married, I just didn’t know when or how he would actually propose.

We called all of our family and friends the night he proposed. When we got back to Buffalo, my grandparents were there and my parents had bought us some balloons. I moved out of Buffalo shortly after we got engaged, but we came back for Thanksgiving that year. My friends threw us a surprise engagement party at our annual Friendsgiving get together which was really sweet.

We chose the Admiral room for our wedding because it exudes elegance. It is so beautiful, and we were able to have both the ceremony and reception there. That was important to us. Because my family is so big, the guest list was naturally pretty large. The venue itself is beautiful, but it was all of the little things that made us fall in love with it. The staff was amazing and made us feel like we were taken care of the whole day. The food was delicious, and the chef was flexible with the meals. I loved that we were able to get ready and take all of our pictures at the venue. It lessened any stress of traveling or falling behind.

My father and I practiced for our father daughter dance for 6 months. We wanted to surprise everyone, so the only people who knew we were doing a choreographed dance were my mom and my sister. I mashed together and bunch of songs and we came up with a dance. It was so fun! When we danced in front of everyone it was so amazing and it went so well!

The most exciting part of the day was being able to see everyone we love the most all in the same room. My husband’s family lives all over and now that I’m not in Buffalo, we don’t get to see our family and friends as much as we used to. It was so fun to see all of our favorite people at once.

A recent interview with Mary Margaret and John. 

Where did you meet?  Of all places, we met at the World’s Largest Disco,   http://www.theworldlargestdisco.com in 2019 when we bumped into each other and our mutual friend introduced us! After spending the rest of the night dancing and chatting, we were pretty inseparable from then on — and we haven’t missed a Disco since!

 
John proposed to me on June 30, 2023 underneath the bridge at Delaware Park. My parents were in town from Texas and we were going to meet them and John’s parents at the Terrace for dinner but went to the park early to catch up with his sister beforehand, little did I know it was all a trick to get me there! We walked to the bridge and he got down on one knee under the bridge, unbeknownst to me, both of our parents were standing on top of the bridge and watched the whole thing and his sister was there in the bushes taking pictures of the proposal. One of the best days ever!

The night of our engagement, John had told a few friends to meet us on the rooftop of the Curtiss Hotel for drinks after we finished up with dinner, so we celebrated with our closest friends the night of! Since we got engaged the weekend before the 4th of July, John’s whole family threw us a huge engagement party on July 3rd filled with some of our favorite things: family, cornhole, and sparklers at the end of the night!

For our ceremony at The Admiral Room, we really wanted it to be personal. We wrote all of our own vows to exchange to each other during the ceremony, and John’s cousin married us because she’s known us throughout our relationship so everything was special and nothing was typical. Since we met at the Disco and love music and dancing, we based a lot of our reception off of that — disco vibes! We told our band, Big City Horns, http://www.bigcityhorns.com to kick off the music with “Dancing Queen” to get the vibes going from the start, and we really danced the night away with our friends and family! We never left the dance floor!

From before we even got engaged, I knew there was really only one place I wanted to get married. Friends and family still talk about how gorgeous the venue was!

We spent a lot of time picking out our first dance song; we wanted it to be special but also feel like us, so for the entire summer before our wedding, every time we’d  take our dog on a walk, we would listen to a few different songs that we were choosing between. We ultimately picked Precious Love by James Morrison because we loved that it was upbeat and we loved the lyrics. My first dance with my dad was Tiny Dancer by Elton John because it was always one of our favorite songs. John and his mom picked Somewhere Over The Rainbow because she used to sing that to him every night when she rocked him to sleep. 
After we spent the whole morning apart while we were getting ready, I loved that we did a first look and took photos before the ceremony so we got to spend so much time together on our wedding day. Our ceremony was so beautiful and I loved every second of it, but easily the best part of our wedding day was the reception!! The Admiral Room made it so incredibly seamless and transformed the most beautiful room into the biggest and best party we’ve ever thrown!

WHAT IS YOUR VENUE’S MAXIMUM CAPACITY? Varies depending on set up, usually 350 people.  Our job is to make your guest count look like the venue was made for it!

WHEN CAN VENDORS AND DECORATORS ACCESS THE VENUE FOR SETUP? Anytime- have them call us to arrange.  We are a 24/7 building.

DO YOU PROVIDE TABLES, CHAIRS? YES, included in the package.

WHAT COLOR LINENS DO YOU HAVE?   Included in the price is white, ivory and black- all floor length linen.   We have an abundance of specialty linens- metallic, floral, damask, crunch, lace and much more.  We also have a variety of napkin colors as well.

IS THERE A BRIDAL SUITE AND GROOMS ROOM?  YES, the bridal suite has the most fun balcony for B/G introduction.  The room is available for 4 hours prior to the reception but if interested in longer, we can discuss arrival times.  We also have a groom’s room- on the first floor.  Each room is $200 unless you purchase a ceremony package and then it’s included.

DO YOU HAVE AN APPROVED OR PREFERRED VENDOR LIST? YES, because sound is so important to us, you must choose the top 25 in Buffalo.   We do offer you in our wedding handbook our top 5 DJ’s/Bands.

CAN WE BRING OUR OWN VENDORS (PHOTOGRAPHER, FLORISTS)?  YES, We can assist you if requested.

DÉCOR AND CUSTOMIZATION

ARE THERE RESTRICTIONS ON DECORATIONS ( CANDLES, HANGING ITEMS)?  ALL CANDLES MUST BE CONTAINED WITH GLASS. IF A CYLINDER VASE DOES NOT HAVE A BOTTOM OF GLASS, YOU WILL NEED TO PROVIDE A CLEAR PLASTIC DISK TO PREVENT WAX SPILLAGE.  THE ONLY LOCATION YOU MAY HANG ANYTHING FROM IS THE MARBLE WALL IN THE FRONT OF THE ROOM.

CAN WE CUSTOMIZE THE SPACE LAYOUT?  YES, Every event is customizable, we use a digital program.

ACCESSIBILITY AND PARKING

IS THE VENUE WHEELCHAIR ACCESSIBLE? YES, We have a special lift and there is a ramp in the room as well as a portable ramp.

WHERE IS PARKING ? On-street parking is free on side streets after 5pm, there a 87 spots across the street, 200+ next door to us/Glenny Building, 200 on Main & Swan and 800 spots in the garage on Washington/Exchange. You can offer pre-pay, park on your own or valet.  We see a lot of ride shares.

IS VALET OR SHUTTLE SERVICE OFFERED? There is a shuttle service for guests staying at the Embassy Suites on Delaware Ave.  There are also two companies that offer valet service.  This information is found in the wedding handbook.

IS THERE A SOUND SYSTEM, PROJECTOR? We have 12 speakers surround sound JBL speakers, a projector for the ceiling /wall design upgrades and microphones.  Ask about details

Balancing tradition with personal style in a wedding can be a beautiful way to honor your roots while making the day uniquely yours. Never have we seen such a time we you can do just about anything.  Make it your love story!!

3. Personalize Rituals If there are rituals or customs that don’t fully align with your vision, consider modifying them. 25 years ago everyone participated in the garter toss.  This is where the groom would remove the garter from the bride and tosses it into a crowd of single men.   We have not seen the toss but a few times at the Admiral Room. Instead, you could have a photo taken of the single guests and look back on this a few years later to see the differences.  Make it your own!

1. Understand the Legal Requirements

   – Make sure you’re legally authorized to officiate weddings in the location where the ceremony will take place. 2. Deciding on the Officiant
