Include all necessary details such as dress code, timing, and location. Sending invitations 6–8 weeks in advance gives guests plenty of time to prepare and respond.

Set a clear RSVP deadline and follow up politely with guests who haven’t responded. This ensures accurate headcounts for seating, catering, and overall planning. Guests- please respect the date the couple has set.

From arrival to departure, think through your guests’ journey. Clear signage, a well-organized timeline, and thoughtful touches—like welcome drinks or comfortable seating—make a big difference. If your reception is following a ceremony, don’t worry we will be clear to guide the guests to the cocktail hour area.

4. Dress Code Clarity
Whether your wedding is black-tie, cocktail, or casual chic, clearly communicate expectations. Guests want to feel comfortable and appropriately dressed, and a defined dress code helps eliminate uncertainty. We have recently seen a few wedding where the couple has requested a color theme or pattern. Last summer as bride requested the ladies wear a floral pattern dress/outfit. The pictures looked amazing.
5. Ceremony Etiquette Matters
Encourage guests to arrive early, you know your family best. We have also seen weddings where the couple stated a start time that was 15 minutes earlier to get their families to arrive “on time”.
A must now a days is to remind guests to silence their phones before the ceremony begins. Consider having signage or an announcement to guide them. An unplugged ceremony—where guests refrain from using phones or cameras—can help keep the focus on the moment.
6. Thoughtful Seating Arrangements
A well-planned seating chart enhances guest comfort and encourages conversation. Consider relationships, personalities, and dynamics when assigning tables. It’s also helpful to clearly display seating assignments to avoid confusion during the reception.
7. Toasts and Timing
Speeches are a cherished part of many weddings, but keeping them concise and meaningful is key. Coordinate with your speakers in advance to ensure timing flows smoothly and the energy of the event remains upbeat. Side note- this is the most common area where the timeline goes awry. Keep to the script.
